13. Integrated Secure Messaging

The Integrated Secure Messaging allows the dispatcher to send and receive secure text messages, multimedia content, and location information to and from the fleet members. One-to-one messages provide the sender with confirmation that the content was delivered. Multimedia content can include images, videos, audio, and other files. The image, audio and video files on the PC can be sent as an attachment. Location messages allow a dispatcher to send and receive location information to and from its fleet member. The dispatcher can select location pin icon to share location or search for any address or any point of interest on Google Maps and share with the fleet member. The dispatcher can view the received location from its fleet member. A notification will be displayed whenever a message is received. The message (text or multimedia) can be deleted or forwarded to the other fleet member. The messages cannot be forwarded to broadcast group. The dispatcher will not be able to send any multimedia content to a broadcast group.

Depending on the configured settings, desktop notifications will be displayed for all messages types if Dispatch browser is in minimized mode or not on the active tab.

13.1        Secure Text Messaging

Secure text messages are sent by selecting contacts or a talkgroup. The dispatcher receives a system notification when a secure text message is received. The dispatcher can reply to the sender and reply all (for group messages). Messages can be forwarded to contacts and talkgroups. Secure text messages will be shown in threaded history. Secure text messaging supports up to 2000 characters, default = 300 (0 = disabled).

13.2        Multimedia Content

Multimedia content includes images, video, and recorded audio, and files as a message attachment. Multimedia messages will also be shown in threaded history.

Dispatcher can browse or drag and drop any multimedia file from the local drive into the message window of a contact or talkgroup. Dispatcher can preview and add additional text with the attachment before sending to the fleet member.

The maximum multimedia attachment size that can be transferred (originated or received) and is configurable system-wide from 0–15MB, default = 5MB (0=disabled).

13.3        Secure Image Messaging

An image is sent which is saved on the PC. The dispatcher receives a system notification when a multimedia image is received. Thumbnails are shown for photos. If the dispatcher is onlineOnline, the picture will be downloaded automatically. The dispatcher can reply to the sender and reply all (for group messages). Messages can be forwarded to contacts and talkgroups. Dispatcher can cut an image or part of an image and paste the same in the message input box of the contact or talkgroup.

Secure image messaging supports the following:

  • GIF
  • JPEG
  • PNG

13.4        Secure Document Messaging

A document is sent which is saved on the PC. The dispatcher receives a system notification when a document is received. Thumbnails are shown for the types of the documents. If the dispatcher is Online, the document will be downloaded automatically. The dispatcher can reply to the sender and reply all (for group messages). Messages can be forwarded to contacts and talkgroups.

Secure document messaging supports the following:

  • DOC, DOCX
  • PDF
  • PPT, PPTX
  • XLS, XLSX

13.5        Secure Video Messaging

A video is sent from the prerecorded video saved on the PC. The dispatcher receives a system notification when a video is received. Thumbnails are shown for videos. If the dispatcher is onlineOnline, the video will be downloaded automatically. The dispatcher can reply to the sender and reply all (for group messages). Messages can be forwarded to contacts and talkgroups.

Secure video messaging supports the following:

  • MPEG-4

13.6        Secure Voice Messaging

A voice message is sent from a prerecorded (audio clip) saved on the PC. Voice can also be sent by recording the voice under message tab. The dispatcher can record the voice, preview, rerecord, erase, and send the message.

When a dispatcher receives a voice message, a notification will be displayed. If the dispatcher is Online, the audio will be downloaded automatically. The dispatcher can reply to the sender and reply all (for group messages). Messages can be forwarded to other contacts and talkgroups.

Secure voice messaging supports the following format:

  • AAC
  • MP3

13.7        Location Message

Select location pin icon to share location on Google Maps and share with the fleet members.

When a dispatcher or fleet member receives a location message, a notification will be displayed. The recipient can reply to the sender and reply all (for group messages). Messages can be forwarded to contacts and talkgroups.

Location messages will also be shown in threaded history. The fleet member’s device OS provides the location.

Note: Location services must be enabled on the device and the PTT application must be granted permission to use Location Services.

13.8        Store-and-forward

The store-and-forward technique is used to keep and send messages to unavailable users who are offline or Temporarily Unreachable (TU). Store-and-forward is configured system-wide by KODIAK Operations.

13.9        Export Messages

The export operation allows dispatcher to export conversation or individual messages with or without attachments in each conversation. Dispatcher can choose to exclude the media files at the time of exporting conversations. The exported file will be in ZIP format and will be downloaded under the download folder configured on the web browser. Dispatcher can export single or multiple messages at a time. Dispatcher can filter data available in the exported CSV or Excel sheet.
